Reporting:
Direct to Director, HR ASEAN & HK
Matrix to Facility & Admin Manager
Key Job Functions:
- Providing secretarial support to the assigned Vice President (VP) /Senior Executive Directors’:-
- daily schedule/travel management which will includes planning, reminding, booking, picking up and etc
- communicating with departments and companies, track and implement the implementation of work tasks assigned
- arrange internal and external visits, meetings, activities, maintain and manage contacts
- any other duties to be assign from time to time
- Maintain proper record-keeping of high level confidential and controlled documents, where necessary
- Responsible for office administration duties and support for APAC team, working closely with the IMAL admin team
- Provide end -to-end travel arrangement for APAC team
- Perform other tasks assigned by Reporting Manager
Preferred Experience/Qualifications :
The ideal candidate possesses the ability to demonstrate strong business capabilities and work proactively in a fast-paced environment as well as the following qualifications and attributes:
- Minimum A level/Diploma/Degree in Business Administration with 3 – 5 years of relevant experience as Executive/Personal Assistant supporting senior management
- Proficiency in MS Office (Word, Outlook, Excel, & PowerPoint)
- Detail-oriented
- High level of reliability, professionalism, and discretion
- Strong level of interpersonal & communication skills
- A high level of productivity, initiative, and self-motivation to accomplish tasks
- Able to multi-task and work under pressure, meet tight deadlines and accommodate last-minute changes
