Section 2:  Position Summary

This role is responsible for marketing campaign management. He/ She acts as an overall liaison for program managers and other organizations, requesting and collating materials in order to enable timely marketing implementation and executions. He/ She is expected to provide end-to-end solutions for any marketing activity executions discrepancies and inconsistencies with the goal of timely billing of the marketing activities. This position is also responsible for editing creative assets and collaterals related to marketing campaigns that are being managed. As required by marketing managers, they are expected to provide moderate to complex reporting. They are responsible for processing promotional orders from end to end and works in conjunction with several marketing departments, sales operations and third-party suppliers to ensure adequate flow of communication is in place.

Major Responsibility:Marketing Programs Execution


Supporting Actions:

  • Acts as an overall liaison for program managers and other organizations, requesting and collating materials in order to enable timely marketing implementation. This includes planning and managing activities on a calendar. He/ She is expected to provide end-to-end solutions for any marketing activity executions discrepancies and inconsistencies.
  • Assists and provides administrative assistance to all campaigns and program executions that can be done offshore.
  • Serves as a resource to program marketing managers by assisting with reports and materials management as well as the development of marketing and/or process documents and administering project components whenever necessary. Assists with projects on a regular basis to support marketing campaigns and content deliverables. Understands the structure of sales operations as well as how they correlate with other departments to standardize and ensure quality criteria are met, drive continuous improvement of common related marketing processes and task performance. Acts as a point person between several internal marketing groups and ensure adequate flow of information within respective department by performing general weekly duties.
  • Marketing assets editing for images and audio modifications. Minimal video editing requirements using Adobe Creative Cloud Tools. Web Ads Deployment and website management.
  • Provides moderately complex reporting, database/leads scrubbing, tracking of unbilled activities, receipt allocation and expense management as requested by Marketing Managers.
  • Accountable in processing promotional orders by means of managing and securing all internal and external requirements to process requests within specified service level, suggests alternatives and provides overall status regarding orders placed, as defined by the business. He or she will be responsible in shopping of products that meets the precise specification specified in the order and ensure that the budget submitted is within the threshold for each transaction. Once order has been completed, he/ she will need to process payments to suppliers.



End Results:Collected marketing materials, reporting, process documents, administered project components, process improvement initiatives, marketing assets management, promotional orders, and supplier payments. Timely execution and billing or program activities and event executions.

Supporting Actions:

  • Track ETA status and other information requested by the in-country counterparts relating to marketing activities they need assistance with.
  • Manage and maintains positive ongoing relationship with designated contacts and provide consultative and administrative assistance in relation to pertinent to marketing executions.
  • Capture required Proof of Performance (POP), Assemble packets as needed and upload completed POP in Podio
  • Performs regular review/testing on tools and processes. Actively look for opportunities to develop new ideas to positively impact existing methods, services, or products
  • Build and solidify back up system to ensure business continuity is in place for each process level being managed.


End Results:ETA, improvement initiatives, process business continuity plan.

Major Responsibility:Marketing Operations


Supporting Actions:

  • Process requests which require securing and managing of all internal and external documents/communications based on business requirements.
  • Overall accountability in managing the marketing platform. Manage mailbox tagging and email spot checks to ensure accuracy and completeness.
  • Associate must respond to calls, inquiries from in-country partners within the defined service level parameters who require information pertinent to any marketing executions. Provide solutions / proactive measure to issues, concerns encountered, or any technical problems experienced.
  • Assists in addressing In-country counterparts’ submitted queries for quicker cases resolutions by coordinating with the different departments, subgroups within Agency Ingram Micro (AIM) and Marketing Accounting Team if necessary. Manages and monitors marketing activities and contracts, including Help Desk tickets in a timely manner. Preparing of activity reports whenever necessary.
  • Identifying effective solutions and offering real-time assistance to all campaigns and program executions which may or may not be limited to SAP and marketing tools.
  • Create and maintain Standard Operational Procedures to ensure accuracy.
  • Document all tasks done daily through internal trackers and logs to ensure comprehensive monitoring of associate's productivity is in place.


End Results: Resolved concerns, maintained process documents, complete trackers and managed Mailbox.

Section 3:  Job Qualifications and Educational Requirement



      Graduate of a 4-year course with minimum of two years applicable job experience; Degree may be substituted for minimum of three and maximum of five years of experience in similar process environment.


      Technical Competencies

  • Certified in Podio processes (must have been a member of Podio Helpdesk for at least 1 year for internal candidates)
  • Must be proficient in MS Office applications and internet savvy

  • Knowledge in bookkeeping, CRM, SAP, data visualization tools like Power BI, Qlik Sense, Concur (highly preferred)
