We are looking for an Administrative Assistant, supporting our Sales VP and Executive team, to join our fast pace Cloud group to perform administrative support to our North American Channel Sales teams based in our Buffalo office. A typical day would consist of managing multiple Executives calendars for meetings onsite and offsite across multiple global  time zones. Making travel arrangements for travel. Executing expense reports on a timely basis. Help out on ad-hoc projects including editing presentations on power point. 


Main Job Tasks and Responsibilities

  • prepare and edit correspondence, communications, presentations and other documents
  • design and maintain databases
  • file and retrieve documents and reference materials
  • conduct research, collect and analyze data to prepare reports and documents
  • manage and maintain executives' schedules, appointments and travel arrangements
  • arrange and co-ordinate meetings and events
  • record, transcribe and distribute minutes of meetings
  • monitor, screen, respond to and distribute incoming communications
  • answer and manage incoming calls
  • receive and interact with incoming visitors
  • liaise with internal staff at all levels
  • interact with external clients and departments
  • coordinate project-based work
  • review operating practices and implement improvements where necessary

Education and Experience

  • minimum 3+ years experience providing support or one or more executives
  • proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
  • knowledge of standard office administrative practices and procedures
  • Bachelors degree
  • Strong experience in managing global time zones and calendaring
  • Excellent communication, spelling skills, as well as strong written and verbal communications skills required.
