The Operations Coordinator will be responsible for providing direction and management with the day to day workload of Operations Associates. The function of this role  includes task and resource allocation, training and development along with coordinating and running daily dialogue discussions. The Operations Coordinator will ensure that all associates are operating in a safe manner and will be responsible for ensuring that any safety concerns are addressed in the appropriate manner. They will be responsible for also monitoring team productivity and workflow volumes as well as ensuring that all appropriate non human resources are in place to meet the daily workload requirements. This role is seen as a development step towards further Supervisory roles.

Major Responsibility:      Functional Management

 

Supporting Actions:     

 

The Operations Coordinator working with their supervisor/managers will hold responsibility for assessing the daily workload and assigning resources to ensure all tasks are completed on a daily basis in line Operational SLA’s. They will ensure that associates are assigned tasks in line with their capabilities and classification. They will be responsible for ensuring that key internal and external stakeholders are updated with relevant status changes which may impact service and delivery. They will also ensure that there are sufficient non human resources in place such as forklifts, RF scanners and consumables to meet volume requirements. 

 

The Operations Coordinator will also be responsible for ensuring that all daily dialogue discussions are completed, ensuring that all appropriate communications are passed on to associates and that each associate is aware of the requirements of the day.

 

Finally the Operations Coordinator will be responsible for administering the Kronos Time and Attendance system, ensuring that data is accurately entered in a timely manner.

 

End Results:                  

 

Work allocated in the correct manner, completed within SLA. Key stakeholders appraised of outstanding issues, appropriate resourcing in place, associate communication levels increased, associates paid as per terms Enterprise agreement

Major Responsibility:      Safety

 

Supporting Actions:     

 

The Operations Coordinator will ensure that associates are provided with a safe working environment. They will be responsible for ensuring that daily stretching routines are completed, all Safe Work Operating procedures (SWOP) are issued, inductions on the relevant equipment are performed and that any safety incidents are reported as per the Incident Management Process. The Operations Coordinator will also be responsible for identifying and proactively addressing hazards within the work area. The Operations Coordinator will be responsible for completing the 6S audits for their area of control.

 

Finally, the Operations Coordinator will be responsible entering any incidents into the Safety Management System, completing investigations in conjunction with the Supervisor, Manager and Safety Manager. 

 

End Results:                  

 

Incidents reporting in line with Incident management process, investigations and data entry within agreed timeframes. Hazards reduced therefore reducing the amount of potential incidents which may occur.

Major Responsibility:      Associate Development

 

Supporting Actions:     

 

The Operations Coordinator will provide input to the Operations Supervisor around associate performance and will highlight and work with the supervisor to address any gaps in associate performanceor recognize areas of outstanding performance

 

The Operations Coordinator will also identify any areas for associate development and either work with the associate to develop these skills or assign a buddy to help develop these skills. The Operations Coordinator will also ensure that all associates are trained on relevant work instructions along with identifying opportunities for task/job rotations within the facility

 

End Results:                  

 

Associates becoming multi skilled, performance issues addressed, behavioral based feedback on performance. Increased training hours and skills

Major Responsibility:      Continuous Improvement 

 

Supporting Actions:     

 

The Operations Coordinator will be responsible for identifying and administering continuous improvement activities within their work area. This includes but is not limited to updating visual performance management (VPM) boards, tracking productivity levels and running LEAN meetings to drive the Kaizen and continuous improvement process. The coordinator will work closely with the team to identify potential opportunities for improvement within the work area.

 

End Results:                  

 

Productivity level increases, elimination of waste and redundant tasks, operational streamlining of process, identification of areas for improvement

Section 6:  Job Qualifications and Educational Requirement

 

Guidelines: Provide the education, experience, skills and competencies necessary to perform the position.

 

  • Certificate IV in Management and Leadership or equivalent working experience
  • 3+ years experience in a Team Leader or similar style role
  • Previous exposure to Incident reporting, hazard identification and other safety related functions
  • Previous experience within a high volume, semi automated warehousing facility
  • Exceptional communication skills, both written and verbal
  • Collaborative approach
  • Experience working with a complex Warehouse Management System
