To support this vision, we now have an opportunity in the team for an experienced Offices & Facilities Co Ordinator.  Being part of the HR Team, you will support the wider business ensuring our Milton Keynes site has all it needs to function from a facilities perspective.


This is an ideal opportunity for a strong administrator with great MS Office skills, and love for everything people and someone who enjoys working across the Site and Reception.


3. Position Summary


Reporting directly to the HR Director UK and Ireland and working closely with the Local Milton Keynes Office the Office & Facilities Co Ordinator will be responsible for providing an efficient and effective Administration and support Service across our Milton Keynes site.

The successful candidate will demonstrate previous Facilities experience with excellent Administration skills and previous reception experience on a relief and absence basis. Great interaction skills, a confident presentation style, and a can do attitude is required as is the ability to build relationships with stakeholders at all levels will be a key success factor to the post holder’s success.


4. Duties, Responsibilities, Supporting Actions & End-Results


The successful candidate will recognise the following key elements in his or her personal interest.

  5. Strong communication and negotiation skills.

Specific responsibilities include, though are not limited to

  • Assisting with the negotiation of contracts from a facilities perspective, i.e., Stationery, Cleaners, vending etc.
  • OPEX approval, ensuring all department invoices are correctly billed before submitting for payment
  • Weekly/Monthly stationery orders, catering and beverage orders, ensuring timely ordering and managing stock levels.
  • Supporting on office management tenders and contracts
  • Arranging Company business cards
  • Providing administration cover for the Executive Assistant during annual leave
  • Providing daily Reception cover during AM/PM and lunchtime breaks and full cover during annual leave periods
  • Liaising with contractors
  • Dealing with general correspondence and Adhoc projects on request
  • Corporate Social Responsibilities Metrics
  • Any other duties as requested

5. Requisite Experience and Education, Skills and Personal Attributes (Minimum)

  • Previous Reception and Facilities experience desired
  • Strong MS Office skills
  • Ability to negotiate
  • Stakeholder Management
  • Strong communication skills
  • Good level of Education minimum of GCSE or equivalent in Maths and English
  • Good command of English language, both oral and written
  • Great telephone manner
  • A can-do attitude
  • A strong team player
  • An outgoing and fun personality


  • Driving license
  • UK citizen or proof of right to work in the UK
