The Executive Assistant provides dedicated secretarial and administrative support to the Managing Director and senior executives. This role requires a highly organized and proactive professional who can manage schedules, coordinate meetings, handle confidential information, and support day-to-day business operations effectively in a fast-paced environment.
Responsibilities
- Provide executive secretarial and administrative support primarily to the Managing Director and other senior management as required.
- Coordinate and manage internal and external meetings, including scheduling, logistics, agenda preparation, meeting materials, and accurate minute-taking.
- Prepare reports, presentations, correspondence, and other business documents with a high degree of accuracy and professionalism.
- Manage executive travel arrangements, expense claims, reimbursements, and itinerary planning.
- Liaise with regional office supporting team for cross-territory conference, visits arrangement, including agenda / itinerary preparation and other logistics support.
- Handle confidential and sensitive information with the highest level of discretion and professionalism.
- Support ad hoc projects and administrative tasks assigned by the Managing Director and senior management.
Requirements
- Degree holder of any discipline.
- 10 - 15 years of relevant experience in executive administration, executive assistance, or secretarial support, preferably supporting senior leadership.
- Experienced and familiar with MNC culture and practice, able to communicate with employees at different levels and territories.
- Strong interpersonal, stakeholder management, and communication skills across all levels of the organization.
- Demonstrated ability to handle confidential information with sound judgment, professionalism, and discretion.
- Proven ability to work independently and perform under pressure in a fast-paced environment.
- Proficiency in Microsoft Office applications, including MS Word, Excel & PPT.
