Under general supervision, the workplace Service Associate supports daily office operations by receiving, sorting, delivering, and processing mail and packages within a corporate office setting. This role ensures timely and accurate distribution of materials, maintains organized Mailroom functions, and provides dependable service to employees and visitors. This role also provides backup support for select facilities operations as needed.
Education and Experience
- High school diploma or GED
- 1+ year of related experience, or equivalent combination of education and experience
- Basic computer skills, including email, scanning, and tracking systems
- Strong attention to detail, organization, and reliability
- Professional communication and customer service skills
- Ability to follow written procedures and safety guidelines
Key Responsibilities
- Mail & Package Processing
- Receive, sort, and deliver incoming mail and courier packages to departments and individuals
- Prepare outgoing mail, including USPS, FedEx, UPS, and overnight shipments.
- Log and track incoming packages, accountable mail, checks, and confidential documents using designated systems.
- Prioritize and handle time‑sensitive and confidential materials according to company procedures
Mailroom Operations
- Keep the mailroom clean, organized, and stocked with necessary supplies
- Safely operate mailroom equipment, including postage meters, WTS equipment, label printers, carts, and dollies.
- Complete interoffice mail deliveries and pickups on scheduled routes and timelines, including shipments to other Ingram Micro locations.
- Maintain and follow a documented process to track all incoming checks.
- Update and maintain Mailroom and Facilities shared drive folders so files remain organized and current
- Coordinate with Trade Compliance to ensure all hazardous material shipments (e.g., batteries, equipment) comply with company and regulatory requirements and maintain accurate shipment records.
- Support with periodic parking audits for the Irvine office parking account
Customer Service & Communication
- Provide responsive and professional customer service to employees regarding mail inquiries and delivery needs.
- Communicate any delivery issues, delays, or special handling requirements to internal teams.
- Coordinate with carriers for pickups, tracking requests, lost package investigations, or special shipments
Confidentiality & Compliance
- Handle confidential and sensitive materials in accordance with company policies and security procedures.
- Follow all mail handling, safety, and compliance guidelines.
- Maintain accurate documentation to support audits and internal reviews.

PHYSICAL DEMANDS
- This is an on‑site, active role requiring standing and walking for most of the workday
- Ability to perform repetitive tasks such as sorting, scanning, and labeling
- Ability to safely push/pull mail carts and move packages
- May lift and carry up to 50 lbs in accordance with safety guidelines
- Must be able to meet scheduled work hours and deadlines
The typical base pay range for this role across the U.S. is USD $42,600.00 - $68,200.00 per year.
The ranges above reflect the potential annual base pay across the U.S. for all roles; the applicable base pay range will depend on the candidate’s primary work location, pay grade, and variable compensation plan. Individual base pay within each range depends on various factors, in addition to primary work location, such as complexity and responsibility of role, job duties/requirements, and relevant experience and skills. Base pay ranges are reviewed and typically updated each year. Offers are made within the base pay range applicable at the time of hire. New hires starting base pay generally falls in the bottom half (between the minimum and midpoint) of a pay range.
